Event production encompasses the planning, coordination, and execution of all aspects of an event, including operations, staging, lighting, logistics, food and beverage, vendor activations, and other various roles. Our services involve working with clients to create and manage the overall vision with clients for an event, coordinating the work of different teams and vendors, and ensuring that all elements come together seamlessly to create the highest level of experience for patrons and all involved alike.
Operations
At Blackout LIVE, we understand that the success of any live event goes beyond just the talent and brand. It’s the operations team that serves as the backbone and key to success. That’s why our opps team is dedicated to ensuring that your event runs smoothly and seamlessly from start to finish. Our Operations manager will work closely with you to understand your specific needs and goals for the event and create a customized plan to ensure a successful outcome. With years of experience handling the details and unexpected issues that may arise during a show, you can trust our team to efficiently handle any and all circumstances, ensuring a successful execution.
- Event planning and coordination, including venue selection, vendor management, and budget creation.
- Conduct thorough venue walk-throughs and collaborate with the CAD designer to create an accurate site map, infrastructure design, and layout for the event.
- Ensuring all vendor contracts are reviewed and properly executed and managing the overall event budget and deposit schedules.
- Overseeing the sourcing and hiring and the executive management team and various roles needed to ensure the success of the event.
- Managing ticket scaling, inventory, and capacity restrictions
- Ordering credentials and wristbands for event staff, VIPs, and guests as per requirement
- Price comparison and sourcing vendors for items such as bathrooms, fencing, electricity, tables, chairs, linens, decor, tents, and lighting.
- Securing event parking and handling staff logistics such as transportation, accommodations, and craft services.
- On-site event management, including ticketing, guest check-in, and ensuring all entrances and exit points are properly set up and labeled.
- Securing all necessary permits and passing day of inspections.
- Sourcing insurance for the event.
- Collaborating with the marketing and graphics team to ensure all relevant signage is designed, ordered, and set up.
- Providing guests with a “know before you go” guide to ensure they have all the relevant information prior to the event.
- Develop and implement a comprehensive Run of Show for the event, involving all relevant departments to ensure seamless execution and coordination.
- Acting as a liaison between event organizers, city officials, and emergency services to ensure compliance with all regulations and safety protocols.
- Conducting post-event analysis and reporting to measure the success of the event and gather feedback for future events.
Lighting Sound & Staging
At Blackout LIVE, we pride ourselves on creating visually striking and immersive live event experiences through our exclusive partnership with David Bernal Productions. David and his team are experts in handling all production details and technical aspects of live events to ensure a smooth and seamless execution. David Bernal Productions offers a full range of services, including:
Event Design and Production: Working closely with clients to understand their vision and creating a customized plan that incorporates lighting, staging, and other visual elements to enhance the overall event experience.
Staging and Rigging: Providing stage design and construction, trussing, rigging, and draping services.
- Lighting design and production: Using state-of-the-art equipment to create dynamic and visually striking effects that enhance the overall event experience.
- Audio-Visual: Offering a wide range of audio-visual services, including PA systems, speakers, video projection equipment, and special effects.
- Backline and artist technical rider fulfillment: Coordinating with artists to ensure all tech rider needs are met and renting any additional equipment needed.
- Scheduling and conducting artist soundchecks.
- Event management: Managing all aspects of the production process, from pre-production planning to on-site management, breakdown, and post-event analysis and reporting.
CAD Drawings & Site Maps
Blackout LIVE’s production partner, David Bernal Productions also specializes in CAD map design, which creates detailed and accurate computer-aided design (CAD) maps for a wide range of purposes. A CAD is the 3-D creation of your site map, is the foundation to any large-scale event. CAD maps are created using specialized software and advanced mapping techniques. DBP works directly with clients to understand their specific needs and goals, and then uses his expertise in mapping to create a layout and design that will exceed their expectations. The maps produced are highly detailed and accurate, and can include information such as topography, land use, zoning, and infrastructure. The maps can also include 3D modeling and visualization, providing an immersive experience to our clients, allowing them to see their plans come to life.
Concessionaire Services
Blackout LIVE, in partnership with Event Hospitality Solutions (EHS), offers full-scale food and beverage services for events. The EHS team will set up and operate bars, concessions stand, source and book food trucks and vendors, as well as oversee all other food and beverage service areas at the event, including backstage bars and staff catering. EHS handles all F&B logistics, allowing a piece of mind while ensuring everything is handled with ease. This includes initial purchase orders, restocking, equipment rental, staffing, and obtaining all necessary permits, certificates of insurance, and licenses, as well as adhering to all health and safety regulations. EHS provides seamless F&B operations to clients while ensuring a high-quality experience for event attendees.
Backstage & Green Room Specialists
Our artist rider and green room specialist team focuses solely on catering to the needs of artists and their guests during live events and curating a memorable backstage experience. This plays a critical role in ensuring that the artists and their guests have a comfortable and enjoyable experience during live events. We work to create a welcoming and comfortable environment for the artists and to ensure that all of their needs are met so that they can focus on delivering a great performance for the audience, and the client can focus on enjoying it with their guests. Some of the key services offered include the following:
Rider Fulfillment: Work with the artist’s management team to understand the specific needs and requests outlined in the artist’s rider, and ensure that all requests are fulfilled.
Green Room/Trailer Rentals: Responsible for either building out green rooms or renting trailers for the artists and their guests, or designating a private space during the event.
Errands: The team will always ensure there is a runner on standby to get any and all last-minute requests of artists and to coordinate with drivers for any runs the artist or their team may need to make themselves. We take pride in our ability to troubleshoot, think on our feet, and go above and beyond to exceed expectations in any and all situations presented.
Backstage Experience: The team creates a comfortable and welcoming backstage experience for the artists and their guests, also providing lounge curation upon request. These are becoming increasingly popular at festivals and concerts worldwide giving acts a communal place to congregate during the day and socialize. The lounge setup includes providing comfortable seating, refreshments, and other amenities such as artist swag bags and brand activations.
Artist Hospitality: Work with catering to create a hospitality program and curated menu for the artist, taking all health and dietary restrictions into account. For events that do not have catering, we will work out a reasonable per diem, and/or order food for pick up or delivery on their behalf.
Artist Entertainment: The team can arrange entertainment options for the artists and their guests, such as a game room, pop-up swimming pool, activities for children, and more.
Communication Key: Our goal is to keep impeccable communication with the artist and their team throughout the event to ensure that all of their needs are met and any all necessary adjustments are made. We want the talent to leave saying “wow, that was the best hospitality I’ve ever received from any event!”
Post-Event Follow-Up: A post event follow up will always be conducted with the artist and their team to gather feedback and make any necessary improvements for future events.
